Hey guys, been using the motion for the past couple of days and absolutely love it. I came from Akiflow and I feel that motion can give it a run for its money, but there are a few things I want to ask
1. Is there a way I can prioritize as task more than others
2. How to use the tabs feature, I am unable to find it and also how to open the task bar kind of thing? I get the new task window and the calendar window but no option for the terminal kind of window
3. How to send a mail from anywhere?

I’m enjoying a lot of aspects of the app, but am confronting some pain points as well. I have one more day in my 5-day trial and am currently on the fence about whether or not to commit. As a freelancer in video production who has always struggled with time management and structure, this app seems like a perfect aid. The prospect of a prioritization and scheduling system without needing to devote time to planning or questioning what to do next is amazing. In theory, Motion could truly be a game-changer for me. But in practice, trying to get it to function in a way that makes sense to my needs has been a bit cumbersome, particularly when it comes to the limitations of the prioritization functions. I found myself trying to find workarounds, and then work-around options also felt limited since the automation is voided when you move a task yourself. After working with Motion for a decent amount of time over the past few days, these constraints made me question the system as a whole and therefore return to spending time thinking through priorities myself. And at that point, the app feels more like Trello, but with an added distraction blocker and time component. I’m a big fan of the distraction blocker plugin, but without trusting the prioritization and scheduling functions, I can’t currently justify the cost of the subscription.
Of course, my experience with Motion is only based on my specific type of work and lifestyle, but I noted some functions that would significantly improve the performance for me. And if any of these are already possible, someone please let me know how! My thoughts (I sent this list to a support rep, so just pasting here to share):
- More task control
The strictness of the algorithm works well for work tasks where you are really trying to do something in a set amount of time, on deadline, but things seemed to get a lot more hairy once I was in the “try to finish” zone, which then caused issues with the work schedule as well since it’s all connected. My “try to finish” tasks were somehow showing up on days when I also had tasks “scheduled after hard-deadline," even when I tried expanding my work hours to be limitless. That may just be an incorrect setting on my part, but I’d still like to have more task categories. The idea of keeping the task input simple and leaving more to automation is appealing and I found it intuitive. That simplicity would probably be worth the loss of some nuances if Motion functioned like a normal calendar where we humans know where to fill in the blanks. But because everything that’s automated is interconnected, I’m finding that those overlooked nuances really have a domino effect. For me, it’d definitely be worth inputting more data to more dependably reflect real life. Some ideas on specification in the automation:
Sleep: it’d be great to be able to set both a “minimum” sleep duration and an “ideal” sleep duration, where the difference is able to adapt based on "hard-deadline” and “must finish” tasks.
Leisure/Hangouts: a similar idea to sleep, where it’s nice to take more time but not necessary. It’d be extremely helpful to know how much time I could spend getting drinks without getting off-deadline. The same thing goes for meetings (i.e. knowing whether you can afford to take another 15 minutes or not)
Work: would be awesome to set a range for this as well, functioning in the opposite way to sleep—expanding if necessary but is otherwise overridden.
Single-instance flexible meetings: I only see an option for these to be recurring
Task groups: it’d be great to be able to group tasks together so they move as a piece, particularly for tasks like errands or a morning routine
Offsite tasks: along the same line as groups, would be good to designate if similar tasks are in the same place. A travel time function would also be a great add here since order is flexible
Right now task: I know we have the ASAP function, but it would be nice to be able to set a task for something urgent that overrides everything else. I have tried to just input this as a meeting, but have had trouble with tasks overlapping as a result.
- Manual adjustments and priority control
Calendar dragging: even with more categories, it’d still be nice to be able to drag tasks manually to lock a it to a time without them losing connection with the grid as a whole - like it becomes a meeting so it’s not overlapping other tasks.
Tasks order within projects: this is huge for me, as someone who’s work relies on a lot of large projects where tasks do occasionally need to happen in a more specific order. Would be great to be able to drag the tasks within each project to reflect the order of priority. The same goes for leisurely activities - I’d love to be able to prioritize those a bit more specifically than the “try to finish” category, giving them some order of importance
- Way to signal that you’re just starting a task that you should have started already (I feel like this is probably doable as-is but I can't figure it out)
- Option to set a hard deadline to a specific time of day
- Option to move a task to “later” without moving it to another day - a “later today” option
- Easier navigation to plugins
- Clearer alerts - the alerts that Motion is still working or that tasks are scheduled after the hard deadline are pretty subtle. Could potentially be helpful to have some sort of “calendar refresh” option as well since it sometimes feels unclear whether all the changes have been recognized after settings adjustments
- Support - would be awesome to have FAQs as opposed to just the email contact (a forum would be awesome of course)
