Notion became my default wiki/PM. Databases + relations + filtered views give me a lightweight CRM/roadmap without fighting a spreadsheet. Templates/AI and slash-commands make capture fast; embeds keep specs, Looms, and code snippets in one place. Downsides: performance on very large pages, granular permissions at scale, and offline still hit-or-miss. Versus Google Docs, Notion wins on structure; Obsidian wins on local-first speed. What I love: • Pages inside pages inside pages (so clean). • Databases that actually make sense (to a non-technical person). • Easy to share with others and keep everyone on the same page. Downsides? What's great

Notion is one of the best tools that i have used for multiple tasks all at one and user experience is just awesome. from organising my to do list to building a full-fleged project roadmap. Although there is some issue in using it with a macbook. A working thread is forever active consuming internet and drying the battery out early than normal. i had to manually deactivate this thread name "nsurlsessiond" . I tried fixing it for a long time then i switched to its website version.

Notion basically replaced four different tools for me. Notes, tasks, docs, and a lightweight database all in one place. The flexibility is the real win, you can shape it to fit almost any workflow and it actually stays organized as things grow.

What needs improvement

It gets sluggish with larger workspaces, which is frustrating when you are mid-thought. The learning curve is also real, new people take a while before they stop feeling lost. And for a tool this powerful, the offline experience is basically nonexistent.

vs Alternatives

Tried Confluence and Coda. Confluence felt too corporate and rigid for a small team. Coda was close but Notion's interface just felt cleaner and easier to get others onboarded quickly.

What keeps me on Notion is the balance — it's the only tool where my PRDs, meeting notes, and team wiki all live in the same place without feeling forced. The linked database feature sold me: I can connect a meeting note to a roadmap item in two clicks, and that workflow has replaced 3 separate tools for me. Honestly pricey once you need Business tier, which is why I gave value-for-money 4 stars. But still cheaper than the stack it replaced.

I love Notion, but given it's a webapp, not a native app, it's eating up too much RAM on my Macbook. I also find it's become a bit feature creep late, and I'm a bit worried that it's going to follow the same path as EverNote.

Before Notion, I've used EverNote, Obsidian and Apple Notes, and many other tools. All of them have different type of problems that annoys / distracts me, but all I want is a note taking tool that "just works"!
