What are the 5 tools you simply couldn't do your work without?

This could be related to your industry, or even a side project you're working on.

Here are my 5 (I couldn't function without them):

  1. Grammarly – proofreading my texts, not just posts, but also client communication

  2. ChatGPT / Claude – mostly brainstorming, help with copy, and summarising

  3. Figma – I can put the basic graphics together quickly.

  4. Translator – sounds incredibly old-school, but English is not my mother tongue

  5. Gmail – and not only for communication, but also for storing ideas and sending myself email reminders for posts

[and soon one more that I am working on – – prevents me from being banned on LinkedIn, so I will not lose my account.]

What are your five?

My daily workflow is built around Gmail and Slack for communication, and Notion for keeping all my projects and notes organized. For creative tasks, I rely on Claude for quick brainstorming and Canva for designing clean, professional visuals. Honestly, these five tools are the absolute backbone of how I get things done.

My top 5:

  • Claude/ Chat GPT / Gemini

  • Slack

  • Analytics

  • Keep notes

  • WhatsApp

Claude, Claude design, Firefly, Apollo, Pen & Paper.

Love this question and your responses!!

Here are mine:

  1. Granola (life became so much easier when I stopped having to take manual notes)

  2. Claude (literally my thinking partner for ideas, reflections, and any random questions I have)

  3. Wispr.flow (dictation > slow typing)

  4. Notes app (sounds crazy, but I've tried so many note/journal systems and always come back to the basic one)

  5. Canva (makes designing super easy as a non-designer)

Looking back on this list I feel like I generally gravitate towards simple tools that solve a specific problem without too many features...

Mine would be:
• ChatGPT – brainstorming & writing
• VIQI AI – media & entertainment company research and market intelligence
• Google Sheets – organizing workflows
• Notion – notes and documentation
• Gmail – communication and reminders

It's interesting how AI tools have become part of everyone's daily workflow.

  1. Claude code

  2. Paddle

  3. And my own tool Xpilot :D

Mine skew research-heavy:

Claude for thinking out loud and first drafts of basically everything.

NotebookLM for dumping papers, PDFs and interview transcripts in and actually querying them without it wandering off the sources.

Zotero for reference wrangling, the one I'd cry without at citation time.

Readwise so my book and article highlights resurface instead of dying in Kindle.

Obsidian, where the messy half-notes live until they turn into something.

The "becoming the glue" point above is my exact daily friction. Most of my time goes into shuttling things into and out of NotebookLM by hand, so I've been building a little workspace layer on top of it to kill that copy-paste tax. The tools that stick for me are the ones that quietly remove a step instead of adding another tab.

  1. Claude - Starting point for research

  2. Signal - Used to chat to my locally hosted openclaw agent

  3. Slack - Chat to my devs who are all remote workers

  4. Logseq - Note taking, thought organiser, life tricorder

  5. Gmail - Formal business comms

Have just 4

  1. claude-code - Everything coding

  2. chatgpt - Research, brainstorm

  3. excalidraw - Visualisation

  4. obsidian - Notes, documentation

Not a full list, but I really recommend Google's Stitch for Design/UX.
It is better than Lovable for a quick first draft.
