How I renamed 5,000 files with AI (without touching a single one by hand)
I had a folder I'd been ignoring for three years. 5,000 files. Scanned invoices, receipts, bank statements, contracts, all with names like:
Scan_0043.pdf
IMG_2231.HEIC
document(7).pdf
Untitled 12.pdf
Search was useless. Finding one invoice meant opening twenty files.
So I used the new Magic Rename templates in Files Magic AI. Here's how it went.
Step 1: Pick a template
Instead of the AI guessing a name, you choose the format. The built-in templates:
Invoices: date, vendor, invoice number, amount
Receipts: date, merchant, type, amount
Statements: date, bank, account holder, type
Contracts & Agreements: date, type, both parties
Business Documents: date, type, sender, recipient
Certificates, Clinic Records, and General Documents for everything else
You can also build your own with custom fields. Tell it "the issuer is the hotel" or "add the project code", and it looks for that.
Step 2: The AI reads every file
Not the filename, the contents. PDF text, spreadsheet cells, and OCR on scans and photos of receipts.
Scan_0043.pdf became 2026-03-14 Invoice Acme-Studios INV-2041 $1,250.pdf
IMG_2231.HEIC became 2026-02-02 Starbucks Receipt $8.40.heic
document(7).pdf became 2025-12-31 Chase Bank Statement Gowtham.pdf
Step 3: Review before anything changes
Every suggested name shows up in a list before it's applied. Edit any name you don't like, untick files you want to skip, then rename.
Step 4: Repeat in batches
Each run handles up to 500 files, so 5,000 files took 10 batches: Add folder → pick template → review → rename. Most of the time was me skimming the list. The renaming itself takes seconds.
The safety net
This is what made me comfortable doing 5,000 at once. Revert to Original puts any file back to its first name, even if it's been renamed more than once. Nothing is permanent.
Pick your engine
On-device (Apple Intelligence or the built-in model): nothing leaves your Mac.
Cloud AI: fastest, and reads any language.
Other ways to rename
Batch Rename: classic rules like find & replace, numbering and case, across a whole folder.
Magic Folders: point it at a folder like Downloads, and every new file gets named with your template as it arrives.
The result: 5,000 files I can actually search. Typing "Acme invoice 2026" now finds the file instantly.
Try it free: the free plan includes 25 Magic Renames, on any engine, including Cloud AI.

I'd nervous letting it rename 500 files without checking first. Glad there's a review step.
@trevor_loy23 Yes you can check before clicking rename and with FilesmagicAI you can even revert it back to the original name even after doing multiple renames of a file when you are using the Magic Rename interface.
My Downloads folder is honestly a mess. Half the time I open files just to figure out what they are lol.
@ethan_blake27 Check it out we have a free version. Just click continue for free in the plans page https://1dot.ai/files-magic-ai
Would definitely use the on device option for bank statements. Not something I'd want to upload anywhere.
@jack_pearson33 yes we support on device Rename LLM and also for organize we have Apple intelligence option. Try it out for free https://1dot.ai/files-magic-ai
Being able to add my own fields is nice. My work files usually need project names to make any sense.
@grace_gui02 Yes you can add and customize the fields as per your project requirements and save it as a template for reuse. Let me know if you have any other doubts. You can try it for free here. https://1dot.ai/files-magic-ai
Wait, magic folders can name new files as they arrive? That's probably the bit I'd use most.
@sathesharayu12 Yes once you setup the rename template for that folder the renaming will be done automatically but sometimes it will ask for your approval if ai is not 100% sure. You can try it for free here. https://1dot.ai/files-magic-ai
The restore original names feature would give me some peace of mind. AI gets thing wrong sometimes.
