How are you keeping track of all the websites you look after?

A question for the solo web developers and small shops here: If you're looking after a dozen, twenty, or fifty client websites, where do you keep track of all the little details?

Things like:

  • Which registrar manages the domain?

  • When does the hosting renew?

  • Is the SSL certificate coming up for renewal?

  • Where are the login details?

  • What maintenance or support does each client pay for?

  • Did you remember to invoice for that extra bit of work?

I've seen people use spreadsheets, notes apps, project management tools, wikis, and an unhealthy amount of working memory. I've used a fair few of those myself to varying degrees of success (or lack thereof).

I'm working on Yven to make this particular part of running a solo web business a little less scattered. It's a client book for web developers: a place to keep the details of the sites you look after, the services attached to them, and the things that need attention.

I'm interested in hearing from people who do this work every day: What's the one piece of information about a client website that you find yourself hunting for more often than you'd like?

And if you've found a system that works well, I'd genuinely like to hear about that too. I'm not assuming everyone needs another tool. I'm hoping to use the conversations here to make Yven more useful to the people it's being built for. If you're interested in trying it early, I'd love to have you involved.
