How many tools does it take to run one outbound campaign today?

We run an IT agency (Appfoster), managing outreach for both ourselves and our clients.

At one point, a single outbound campaign meant paying for five different tools:

• LinkedIn outreach
• Cold email
• Email warmup
• Content creation & scheduling
• CRM

Every tool solved one problem, but none of them really worked together.

The result?

We spent an unreasonable amount of time exporting CSVs, switching tabs, updating contact statuses, and figuring out where the latest conversation actually happened.

The breaking point wasn't a single bug.

It was losing opportunities because the workflow itself was fragmented.

A prospect would reply on LinkedIn.

The SDR checking email wouldn't know.

Someone else would update the CRM a day later.

By then, the conversation had already gone cold.

That was the moment we stopped asking:

"Which outreach tool should we use?"

…and started asking:

"Why are we using so many tools in the first place?"

We've faced something similar. Keeping contact status in sync across multiple platforms ended up taking more time than actual outreach. A unified workflow makes a huge difference
