Why are apartment operations still managed with spreadsheets and WhatsApp?

Many apartment teams still manage residents, billing, maintenance, bookings, vendors, and complaints using separate tools like spreadsheets, WhatsApp, paper forms, and manual follow-ups.

This creates problems such as delayed payments, missed maintenance requests, unclear resident records, and poor visibility for management.

We’re building ApartmentERP to centralize apartment operations in one platform: units, residents, billing, maintenance, bookings, vendors, and more.

Curious to hear from property managers: what is the most painful manual process in your apartment operations today?

One thing we noticed: WhatsApp is great for communication, but not ideal as a system of record.

When maintenance requests, payment reminders, and resident complaints are all mixed in chat groups, it becomes very difficult to track what has been solved and what is still pending.

Spreadsheets also work in the beginning.

But once an apartment has hundreds of units, multiple admins, different billing categories, vendors, and recurring maintenance requests, spreadsheets become harder to control.

The problem is not only data entry. The bigger issue is visibility.

For example, billing sounds simple until the team needs to answer:

Who has paid?
Who is overdue?
Which unit has outstanding bills?
Which payment needs follow-up?
Which report should be shared with management?

This is where manual operations start becoming painful.

Maintenance is another common issue.

A resident reports a problem. The admin forwards it to the technician. The technician replies later. The resident follows up again. Management asks for status.

Without a proper workflow, everyone depends on memory and chat history.

The goal of ApartmentERP is not to replace human interaction.

The goal is to make apartment teams more organized, so communication becomes easier, records are clearer, and follow-ups do not depend on one person remembering everything.

We believe apartment operations need the same level of structure that modern businesses already use.

Apartments are not just buildings. They involve residents, payments, assets, vendors, services, complaints, bookings, and management reporting.

That deserves a proper operating system.
