Why we built RegistaPay
I led the Devapx Technologies (https://devapx.com) team in building RegistaPay after recognizing a recurring challenge faced by organizations that collect payments through registrations, applications, events, programs and other institutional activities.
Collecting information and receiving payments often happen through separate tools. Administrators then have to reconcile form responses with payment records, manually track outstanding payments, share updates with participants and coordinate collection activities across their teams.
We believed this entire process could be simpler.
So we built RegistaPay: a B2B form-building and payment collection platform designed for professional associations, educational institutions, NGOs and community groups.
With RegistaPay, organizations can create customizable forms, activate payment collection and manage submissions through one platform.
But we wanted to go beyond simply combining forms and payments.
Here are some things we deliberately built into the experience:
Collaborative collection management
Organizations can grant team members access to manage their forms and collections. Payment collection doesn't have to depend on one person, and administrative responsibilities can be shared within the organization.
Submission tracking for respondents
People who submit forms can track their submissions and monitor their payment status. They have a way to follow the progress of their submissions without repeatedly contacting the organization for updates.
A shared tracking experience for administrators
This is one of the features I'm particularly excited about. Administrators can access the same submission-specific tracking interface available to respondents. This gives both parties a common reference point when reviewing a submission, checking payment status or resolving payment-related questions.
Financial visibility and reconciliation
Organizations get real-time collection insights, records of paid and pending submissions, and downloadable CSV and Excel reports. This makes it easier to monitor collections, account for incoming funds and reduce manual reconciliation.
Direct payment settlement
Collections are routed to the organization's designated bank or mobile money account through integrated payment gateways. Organizations also undergo verification before they can activate collection forms.
Ultimately, we want RegistaPay to make institutional payment collection more organized, transparent and manageable.
We're particularly interested in feedback from people who manage registrations, membership payments, event collections, educational programs or fundraising activities.
I'd love to hear your thoughts on a few specific things:
For organizations managing registrations and payments, how do you currently reconcile form submissions with incoming payments, and what makes that process difficult?
When a participant reports a payment issue, what information or tools would help your team resolve it faster?
If you could improve one thing about how your organization collects and manages payments, what would it be?
We're excited to put RegistaPay out there, learn from real users and continue improving it.
