Outline is the rare knowledge base that feels fast and polished without locking you in. I use it daily as my main wiki - writing is smooth, search is quick, and the UI stays clean even with lots of documents.

What stands out most:

Real-time collaboration that actually works
Self-hosting with full control over data and domain
Knowledge base structure that scales (collections, permissions, sharing)
Custom domain support for a professional setup
Markdown-friendly editor without the bloat of heavier tools

It’s not trying to be everything - it’s excellent at being a team wiki. For self-hosted teams, it’s one of the best options I’ve used.

What needs improvement

Constructive, but still positive:

A few areas could be even better for self-hosted users:

More built-in guidance for storage/CDN setup (S3 egress costs can add up with many attachments)
Some infra-related features take time to land upstream - understandable for a small team, but worth prioritizing for self-hosters
Project management features are intentionally limited - great as a wiki, but you’ll still need other tools for tasks/roadmaps

None of this stops me from using it every day - just room to grow for power users running their own instance.

vs Alternatives

Notion

Anytype

Confluence

I looked at Notion, Confluence, and Anytype before settling on Outline.

Notion is flexible, but heavier and more SaaS-dependent. I wanted a focused wiki with cleaner performance and the option to self-host.

Confluence is powerful for enterprises, but often slow, complex, and expensive for smaller teams. Outline gives 80% of what we need with far less overhead.

Anytype is interesting for personal PKM, but Outline fits better as a team/personal knowledge base with clear permissions, sharing, and a polished web experience.

Outline won because it’s fast, simple, self-hostable, and purpose-built for documentation.
