Great questions! Here's how it works:
iCloud sync: Right now, rules are saved locally on each Mac using security bookmarks (which store folder names, locations, and dates). So they're device-specific for now. That said, iCloud sync is definitely on my radar for future updates - would love to hear if this is something you'd find useful!
iCloud Drive: Yes! Neatify works perfectly with iCloud Drive. You can organize files inside it and use iCloud folders as destination points for your rules. So if you want all your PDFs landing in an iCloud Drive folder, you're all set.
External drives: Fully supported! The only thing to check is that your drive has read & write permissions enabled (not just read-only). When you disconnect an external drive, the rule becomes unavailable (you can't start sorting with it), and it automatically becomes available again as soon as you reconnect the drive.
