I came up with InstantGroups after years of frustration trying to schedule high-stakes meetings—first in M&A, then running a fast-growing recruiting firm. In M&A, we were constantly juggling executives’ calendars through multiple assistants, often under time-sensitive deal pressure. Later, while building a recruiting agency, I saw the same issue magnified across interview loops, sales calls, and client syncs. Even with tools like Calendly or Doodle, there was one major gap: no platform actually confirms that each participant's calendar is up to date or that the time still works—especially critical when external stakeholders or assistants are involved.
We built InstantGroups to solve that, and piloting it internally has saved us hours each week. It’s built for scheduling groups, not just 1:1s—everything from panel interviews to team check-ins. Whether people connect their calendar, email back in plain English, or just send a screenshot, our AI handles it. And crucially, it confirms every time with each person (or their assistant) to make sure it's good to go and can intelligently gather more times and follow-up until your meeting is booked. This is true hands-off group scheduling. No logins required for guests, no back-and-forth, and meetings actually happen.
Check out the comparison table for how it stacks up. We built this to be the tool I wish I had years ago—curious to hear what use cases it could help with in your world!

@adam_lab Only the person initiating the invite needs an account. They simply enter the invitees emails, then those individuals receive an email for scheduling where they can connect their calendar, reply in plain text, or send a screenshot of their schedule to share availability for that meeting. Invitees do not need to make any account, even when integrating calendar, they just integrate it for that specific meeting and it draws free/busy in a privacy safe way.
@adam_lab thank you!! Would love to have you on the upcoming free beta, can snag a spot on our website if you’d like :)!

This product would be immensely helpful during the DD process of a real estate transaction when constant communication with third parties is a requirement

@devon_musselman 100%, trying to get the internal and external teams and two execs with assistants on a call is currently such a nightmare. Thanks for the support!
