Paidwhere collects invoices from Gmail, Downloads and your phone, renames and files them on your Mac or PC, and keeps a ledger you can ask (“$60 last November?”). Drop in a card statement to see which charges have no receipt. No bank connection.

Hi Product Hunt, I'm the maker of Paidwhere.
Every month I had the same problem: receipts were scattered across Gmail, my Downloads folder and photos on my phone. Then my accountant would send a list of card charges and ask, “Can you send me the receipts for these?” Finding each one took an evening.
The tools I tried either wanted my bank login or wanted me to upload every invoice to their cloud. I wanted neither, so I built Paidwhere.
What it does
- Collects invoices by itself. It takes them from a Gmail or Outlook forward, from your Downloads or any folder you choose, or from a photo taken on your phone.
- Files each one for you. It renames each file to date_vendor_amount, puts it in a year/month folder and adds it to an Excel ledger. Duplicates are set aside, and any currency is converted on the invoice date.
- Answers questions the way you'd ask them. “Where did I pay $60 last November?” works in English, Korean and Japanese.
- New: statement matching. Drop in your card statement as a CSV or Excel file. Every charge is matched with a receipt, and the missing ones stand out with a Gmail search one click away. Your accountant gets a single ZIP with the receipts and a list of what's still missing.
Privacy
- Your invoices and ledger stay in a folder on your computer.
- Pages are read on your device. Only pages the built-in reader can't handle go to an AI reader, which doesn't store them or train on them.
- There's no bank connection, ever.
Pricing
The free plan covers 30 pages a month. Paid plans start at $19, and asking questions is free on every plan.
